What's inside the Debt Book system
12 sections on one database: what you record on one screen shows across the rest at once.
Why the Debt Book system
What actually makes the difference in this trade, not a generic feature list.
A debt and what was taken
Type the amount in dollars or lira and what the customer took; the day to pay is 30 days on, or whatever term you set. A debt said in lira on a dollar account goes on at the day's rate, and the amount as said stays on the slip and the operation. Once saved, print the debt slip or send it on WhatsApp.
A credit limit for each customer
Set the most each customer may owe. A debt that would take them past it is refused, the form shows by how much as you type, and money paid ahead makes room.
Both currencies, no small change
Customers pay in dollars, lira or both at once, by cash, Whish, OMT or bank transfer, at the day's rate, and the change you hand back is recorded. A payment within one note of the balance settles it, so nobody is left owing small change.
Who is late, and since when
Every payment settles the oldest debt first, so the system knows which debts each customer still owes and who is past the day to pay. The late list starts with the oldest, filters by over 30, 60 or 90 days and by area, has a ready WhatsApp reminder on every row, and prints.
A page for every customer
The reminder and the messages after a debt or a payment carry a link to the customer's page: what they owe and its value in lira, the debts still owed with their dates and what was taken, their payments, your notice and how to pay. No login, and the link can be replaced if it reaches the wrong person.
The month in figures
The month's debts and collections, the change in what you are owed, and debt ageing: up to 30 days, 31–60, 61–90 and older. The ten who owe most, money taken by payment method, what each employee wrote, and debts by area.
Questions about the Debt Book system
Can I write a debt in lira on a dollar account?
Yes. The shop keeps every account in one currency, dollars or lira. A debt said in the other currency is converted at the day's rate, which you can change on the debt itself, and the amount as said and its rate stay on the slip. Payments can be in dollars, lira or both at once.
My debts are in a notebook. Can they come over?
Yes. Type your customers into an Excel or CSV file from a ready template in Arabic or English: name, phone, area, address, credit limit and the balance from the old notebook. Every row is checked before anything is saved, so the file goes in whole or not at all, and the notebook balance counts as older than any debt.
Can an employee change or delete a debt?
Only if you give them the right. A staff login starts with adding customers, writing debts, taking payments and the late list; editing or deleting what is written, setting a balance and the reports belong to the owner or a manager. Every edit to a debt or payment is logged with a copy before and after, who made it and when.
