Why the Gas Station system

What actually makes the difference in this trade, not a generic feature list.

A shift on the meters

Each nozzle opens on its last reading and today's price, and is never in two shifts at once. At close you type the meters, other sales (oil, a wash) and what the attendant handed over in each method and currency; the system works out what was due and the shortage or overage. The shift sheet prints on the receipt printer for signing.

A price change mid-shift

Type the new price per litre, or per 20-litre tin from the ministry's table and the system divides it by 20. With a shift open it asks for the meters of that fuel's nozzles, so what was pumped before sells at the old price and what comes after at the new one.

On account, by number plate

A company or taxi office takes fuel on credit: typed in litres or in lira against an open shift at its price, and a new plate is added to their cars. Each customer has a credit limit, and anything past it is refused until you raise it.

A page for every customer

The WhatsApp reminder and receipt carry a link to the customer's page: what they owe and its lira equivalent, each car's litres this month, the last fills and payments, and your notice and how to pay. A statement for any period saves as PDF and goes on WhatsApp.

Every tank, by the book

Each tank's stock is worked out, never typed: deliveries less what the nozzles drew, with every dip's difference kept. A delivery is paid now or put on the supplier's account, one larger than the tank is refused, and a tank under 20% shows on the home screen.

Profit at the real cost of fuel

Fuel is costed first in, first out: the oldest delivery's litres sell first, and what the dips lost is counted too. The monthly report gives litres, sales and profit per fuel, each attendant's short or over, and what customers owe and suppliers are owed.

Questions about the Gas Station system

Does it show each attendant's shortage?

Yes. At close, what an attendant should hand over = the value pumped + other sales − what went on account, against what they handed over in every method and currency, dollars at the shift's rate. A difference smaller than the smallest lira note you set counts as a match, and each attendant's short or over is in the monthly report.

Prices in lira, accounts in dollars?

Yes. The litre price is in lira, as on the pump, and attendants hand over in lira, dollars, card or Whish. Customer accounts are kept in dollars or lira as you choose, with fuel on account at the day's rate. From the cash box you change lira to dollars or bank cash, and neither counts as income or expense.

Can attendants work from a phone?

Yes. The online edition opens in the phone's browser and installs on it as an app. Each attendant has their own login: they open and close their own shift and no one else's, put fuel on account and take customers' payments, and the cash they close with stays on them until they hand it over.
